The rules of English writing are carefully applied to sentence writing. (see the ILC Manual at the bottom of this page)
Without knowledge of these rules, some translators use Japanese punctuation marks (※, ~, etc.) in English documents, which is far from authentic for English speaking readers who would readily notice.
There are DTP rules for English documents that are different from those in written Japanese.

ILC Limited has compiled its in-house rulebooks for English writing and DTP based on our decades of experience and expertise.
By strict adherence to these rules, we produce professional English documents that are natural, beautiful, and easy for English-speaking people to read.

There are very few companies providing proofreading service with the knowledge of the difference between these two rules and the necessity of having them.

Please ask the vendor to whom you entrust the production of English-language pamphlets or IR/CSR reports if they check the documents in accordance with English writing and DTP rules.
Vendors that responded that they “do not check that as such” or “do not know the difference between English writing rules and English DTP rules” are out of the question.

If vendors responded that they are performing proofreading in accordance with these two rules, then ask them to show you the rule book used for proofreading.
Most vendors are thought to be proofreading without any rule book.

Proofreading without rules means to rely solely on the personal experience and knowledge of each checker, which leads to uneven irregular checking.
Using a rulebook is therefore essential for the production of consistent, high-quality English-language documents.

Flow of Translation + Proofreading

It is possible that we perform translation, the customer performs DTP, and, finally, we perform post-DTP proofreading.

  Step 1Estimate

  Please inform us of the following information from the Estimate form. If we require any confirmation regarding the document to be translated, we will contact the customer. We will submit an estimate by e-mail. Please confirm the estimate and place your order.

  • Pre- and post-translation languages (e.g., Japanese to English)
  • Comprehensive layout data (Word, PDF, etc.) and the document to be translated
  • Desired delivery and budget (if necessary)

  Step 2Confirmation of the document

  We will check the document and comprehensive layout. If there is a significant increase in the post-translation text volume, we may ask customers to make a substantial reduction of the translation source text.

  * When producing an English version of a Japanese document, there are many cases where the text box cannot accommodate the increased volume of text. In this case, we suggest to reduce the text volume.

  Step 3Translation

  A translator specializing in the specific subject matter cited in the document will be responsible for the translation.

  Step 4DTP

  Customers will perform DTP.

• 

  Step 5Delivery

  Our Japanese and native checkers check the DTP-processed data provided by the customer, and conduct proofreading of the text and checking of the layout. We then provide the customer with necessary instructions upon completion of the check. After obtaining the customer’s approval, we will transmit our invoice.

We also accept an order for foreign language DTP with a customer-supplied foreign language text and original language layout data.

  Step 1Estimate

  • Language to replace the original text
  • Comprehensive layout data (PDF, etc.)
  •Availability and type of the paste-up data (InDesign, Illustrator, etc.)
  (Additional fees will be charged if we have to create the data from scratch)
  •Desired delivery and budget (if necessary)

  Step 2Supply of translation and original language paste-up data

  Customers are asked to provide the source text data (Word, Excel, etc.) and the paste-up data (InDesign, Illustrator, etc.).
  If you have any specifications on fonts or other details, please provide us with the instructions in advance. Otherwise, provide reference materials such as the previous year’s edition, so that we can start production using the previous year’s specifications as a general template.

  Step 3DTP

  Experienced DTP operators at ILC will be in charge.

  * When producing an English version of a Japanese document, there are many cases where the text box cannot accommodate the increased volume of text. In this case, we change the size of inserted images, spaces between lines, or any other elements during the DTP operation, or reduce the text volume contained in the document.

  Step 4In-house proof and submission of first draft

  In-house proof (layout check/proofreading) will be performed by DTP operators and Japanese checkers. Upon completion, we will submit the first draft for customer review. We may point out some corrections that were identified during internal checks (translation errors, spelling errors, incorrect use of symbols, etc., in the case of English documents). If corrections are necessary, based on customer instructions, we will perform the correction process.

  Step 5Delivery

  After our customer approves all instructions for modification, etc., were performed, we will transmit our invoice.

The translator and the DTP staff form a team to perform careful proofreading in accordance with our English writing rules and English composition rules.

There are not many vendors who conduct DTP in accordance with the English composition rules and English writing rules. Proofreading without rules has to depend only on the discretion of the individual proofreader or checker, which is certain to affect quality.
